NeverMiss Dispatch sets up and runs AI phone answering for home-service businesses such as HVAC and plumbing companies (our "client businesses"). This page explains, in plain English, what information we handle and why.
Who we are

Calls are recorded
When our AI receptionist answers a call, it says at the start that it is a virtual assistant and that the call is recorded. Calls are recorded and transcribed so the details are captured correctly and the client business can check what was said. If you don't want to talk to the assistant, you can say "person" or ask to leave a message.
What we collect
Information you give on the call or by text, such as your name, phone number, service address and a description of the problem, plus the call recording, transcript, and basic call details like the time and caller number.
How we use it
Only to handle the call for the client business you called: answering, booking or requesting a callback, alerting their on-call technician in an emergency, sending you confirmations you agreed to, and giving the business a summary. We do not sell your information or use it for our own marketing.
Who we share it with
The client business you called, and the service providers we use to run the system (for example telephone, voice AI, calendar and hosting providers), only as needed to handle your call.
Text messages
Text messaging is not switched on yet. Once it is: if you agree to receive texts, you may get appointment confirmations, callback times and updates. Message and data rates may apply. Reply STOP to opt out or HELP for help. Mobile numbers are never sold or shared for marketing.
How long we keep it
We keep recordings and transcripts only as long as the client business needs them to serve you, and delete them on request where we can.
Client businesses and payments
For businesses that sign up, we keep account and billing details such as the business name, contact name, email, phone and plan, and usage records like call minutes. Payments are processed by Stripe; we do not see or store full card numbers. Stripe handles card data under its own privacy policy.
Where data is processed
We are based in Brazil and our service providers are mainly in the United States, so information may be processed in both countries. We use providers that protect it with reasonable security measures.
Your rights
You can ask to access, correct or delete your information, subject to what the client business or the law requires us to keep (for example, billing records). Depending on where you live, laws such as Brazil's LGPD or US state privacy laws may give you further rights.
